When you book
We need your name, email, dates, room type, number of guests, language, and whether you have paid. Phone and bed preference only if you add them.
We use that to confirm and manage your stay, send booking emails, handle cancellations or refunds, and keep the booking secure.
Why we use it
Booking details: to arrange and manage the stay you booked. The legal basis is our contract with you.
Contact-form messages: to reply to you. The legal basis is our legitimate interest in answering enquiries, or steps you ask for before a booking.
Payment and tax records: because Czech accounting and VAT law requires us to keep them (legal obligation).
Technical data: with each booking and contact message we keep a short technical note, including IP address and browser type, to prevent fraud and abuse and to handle payment disputes (legitimate interest). It stays with that booking or message.
The website never asks for an identity document. When you arrive, reception records the guest-register details that Czech law requires (legal obligation).
Cameras at the hotel
The hotel has CCTV on the premises. Cameras cover public indoor areas such as reception and hallways, and outdoor areas of the hotel including the entrance, other sides of the building, and parts of the guest parking area. There are no cameras in guest rooms.
We use the recordings to protect guests, staff, and property. Reception can view the live picture on a monitor at the desk. Hotel staff may review a recording when there is a security reason.
Recordings are overwritten after no more than 7 days. If something happens, we keep that clip only as long as we need it for that incident or a legal claim. There are signs at the entrances to the filmed areas.
Who else sees your data
Card payments go through Comgate a.s. Checkout is at https://payments.comgate.cz. We do not store full card numbers or security codes.
Our connection to Comgate runs through a secure relay hosted by Amazon Web Services in Frankfurt, which passes payment requests on and does not store them.
Booking emails are sent by Resend.
The website runs on Cloudflare. A quick spam check (Cloudflare Turnstile) may run when you send a booking or a message.
The contact page map is Google Maps. It loads with the page, which sends your IP address to Google. Google may set its own cookies.
Bookings and contact messages are stored in Neon, in Frankfurt in the EU.
How long we keep it
Payment and VAT records are kept for 10 years from the end of the calendar year of the stay, as Czech tax rules require.
Other website booking details (name, email, stay dates, room, payment status) are kept for 3 years after the stay ends, for complaints.
Guest-register details collected at check-in are kept for the period Czech law requires, typically 6 years.
Contact-form messages are kept for 2 years after we close the enquiry. Technical logs that are not part of a booking are kept for 90 days.
If the law still says we must keep a record, we cannot delete it yet.
When you accept the terms and privacy policy at booking, we store the time you accepted and the Last updated date shown on those pages.
Your rights
You can ask for a copy of your data, to have it corrected or deleted, to limit how we use it, to receive it in a portable format, and, where the law allows, to object. Just email us or use the contact form.
You can also complain to the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů, ÚOOÚ).
Data outside Europe
Cloudflare, Resend, and Google may handle data outside the European Economic Area. Neon stores our data in the EU, but its support staff in the US may access it if needed. They all use EU-approved contracts. The details are in their own privacy pages.
